Person Groups Application - Maximo

Use the Person Groups application to create, view, and modify person groups. A person group consists of people, who may or may not be workers. Once you have created these groups, you can designate a person group as a work group or a owner group on a work order or as an owner group on a ticket.

A person group can also be the recipient of a document routed by the Workflow application. If a document such as a purchase order or a work order is routed to a person group, everyone in the group can receive the document unless Workflow is configured to send it only to someone in the group whose calendar indicates that they are available.

Use the Person Groups application to create groups of people. Once these groups are created, they may be assigned ownership of work orders and tickets.

To create a person group:

1. In the Person Group application, click New Person Group . If the Person Group field is empty, enter a value. This value must be unique within Maximo.
2. In the People table window, click New Row to add persons to this group. The Row Details opens.
3. In the Person field, enter a value or click Detail Menu to select an option and retrieve a value.
4. Depending on whether you want the person to be used for an identified organization or a site, enter a value or click select value in the Use for Organization or Use for Site field respectively. The Use for Organization and Use for Site fields are used by Workflow to determine if a Workflow assignment or notification needs to be routed to a person group who is either at an organization or at a site level.
5. If you want a person to be the default person for an organization or site, select the Org Default or Site Default check box. Only one person in each organization or site can be designated as the default in that organization and that site.
6. If you want the person to be the default person for the group, select the Group Default check box. The first person entered in a group automatically becomes the group default. You may modify it if you want.
7. Enter a numerical value in the Sequence field that indicates to Workflow the assignment sequence for this person.
8. Click Save Person Group.


To delete a person group:

1. In the Person Groups application, display the person group record you want to delete.
2. From the Select Action menu, select Delete Person Group.

Maximo deletes the person group.

To assign a person group ownership of a work order:

1. In the Work Order Tracking application, display the work order record with which you want to associate a person group.
2. From the Select Action menu, select Select Owner. A window opens. Click the Person Groups tab. Click the name of the person group you want assigned to the work order.
3. Click Save Work Order.


To assign a person group ownership of a ticket:

A ticket can be opened for a service request, an incident or a problem. Since tickets can be opened in three applications (Service Requests, Incidents, and Problems), to assign a person group to a ticket you need to go to the application where the ticket was opened.

1. In the Service Requests/Incidents/Problems application, display the record with which you want to associate a person group.
2. From the Select Action menu, select Select Owner. A window opens. Click the Person Groups tab. Click the name of the person group you want assigned to the ticket.
3. Save the record.

that's right, but this procedure done manually, but if we can put all this in workflow that will do all those stuff above, that will  be great. It is also good if the owner base on the location in SR will apply this in WF automatically.
