Tools Application - Maximo

Tools application to manage information about the tools used to perform work. Tools are typically non-consumable items for which you charge an hourly rate for their use. Some examples of tools include air compressors; nail guns, calibration equipment, and heavy equipment such as cranes and excavators. You catalog these tools in an Item Set, which can then be shared by the organizations using that Item Set.You can add these tools to storerooms, and use them on job plans and work orders. When you use a tool on a work order, Maximo can reserve the tool in the specified storeroom. You also can issue, receive, and transfer tools from storerooms.

When user create a tool record you are defining the main attributes of the tool (such as commodity codes, issue unit, whether the tool is lotted, or rotating), along with any alternate tools that can be used in its place and a list of the qualifications necessary for a person to use the tool. All tools are marked as capitalized.
For each tool, you can also:

• Add the tool to one or more storerooms
• Specify the tool rate, GL accounts, associated vendor, and tax codes that vary by organization
• Add a list of vendors that carry the tool
• List the specifications for the tool
• Duplicate or delete a tool
• Attach documents outside of Maximo that relate to the tool.

To add a tool record:

1. From the Tools application, click New Tool on the Maximo toolbar.
2. If the Tool field is empty, enter a value.
3. Enter a description in the Item Description field. To enter additional information, click Long Description.
4. In the Lot Type field, specify whether the item is lotted (LOT or NOLOT).
5. If appropriate, complete any of the remaining optional fields to further define the item.
6. Click Save Tool. Maximo adds the tool record to the database.


After creating a tool record and adding the tool to one or more storerooms, you can use the Tools application to view a list of the storerooms associated with this tool. You can also create and view a list of vendors that stock the tool as well as the specifications for the tool.

To add an alternate tool:

1. From the Tools application, open or add a tool record.
2. From the Tool tab, click New Row to display the Alternate Tools table window.
3. In the Tool field, enter a value or click Detail Menu to select an option and retrieve an alternate tool.
4. Maximo fills the Tool Description, Commodity Code, Commodity Group, and Rotating? fields.
5. Enter any additional alternate tools.
6. Click Save Tool . Maximo adds the alternate tool(s) to the tool record.


To delete an alternate tool:

1. From the Tools application, display the tool record.
2. From the Tool tab, find the row of the alternate tool you want to delete and click Mark Row for Delete. You can mark multiple rows.
3. To cancel a deletion, click Undelete Row .
4. Click Save Tool . Maximo deletes the alternate tool(s) from the tool record.


User can insert, view or edit planned tool requirements for a work order on the Tools sub tab of the Plans tab. The Select Tools dialog box allows you to apply multiple tools at once to a work order. When the work order is approved, Maximo reserves the tools if they are in a storeroom. If the work plan is based on a job plan, Maximo copies all tasks and plan data from the job plan to the work plan.

To add a tool to a storeroom:

1. From the Tool application, open or add a tool record.
2. If you have not yet saved a new tool record, click Save Tool .
3. From the Select Action menu, select Add Tools to Storeroom. The Add Tools to Storeroom dialog opens.
4. In the Storeroom field, enter a value or click Detail Menu to select an option and retrieve a storeroom location. Maximo returns the storeroom and its description to the dialog.
5. If appropriate, change the Site for the storeroom.
6. Click OK. Maximo copies the storeroom location to the next Add Items to Storeroom dialog.
7. If appropriate, enter a default bin and current balance.
8. In the Issue Unit field, enter a value or click Select Value to retrieve the measure unit used for issuing the tool. (Examples of possible issue units include EACH, CASE, or ROLL.)
9. Click OK. The Add Tools to Storeroom dialog closes. Maximo adds the tool to the storeroom, and the storeroom displays in the list on the Storerooms tab.


To add tool specifications:

1. From the Tool application, open or add a tool record.
2. Click the Specifications tab.
3. In the Classifications field, click Detail Menu and then Classify to select a classification path for the tool. Maximo displays the attributes associated with that classification in the Specifications table window.
4. In the Alphanumeric or Numeric fields, enter a value or click Select Value to retrieve a value that is specific to this tool.
5. In the Unit of Measure fields, enter a value or click Select Value to retrieve the measure unit used to express the attribute. (For example, if the attribute is SPEED, the unit of measure can be MPH, for miles per hour.)
6. When you are finished defining the attributes, click Save Tool . Maximo associates these specification values to the tool record.


If user need to change a tool's specification, reclassify the tool from the Classification field or change the values in the Specifications table.
